Quick answer
Transcribe the recording, correct the transcript, then ask AI to organize only those verified facts. Compare the report with the source before exporting it.
A good report separates what happened, what is uncertain, and what needs to happen next. AI can help organize a transcript, but it cannot verify an event it did not witness. Use this workflow for a first draft and review every important detail before sharing.
Before you begin
You need a recording you have permission to use, a transcription tool, and a text assistant. Check the tool’s data settings before uploading. Use fictional information for your first attempt. Subscription and recording limits vary by provider.
Method guide · not a product benchmark01Prepare your recording
Record in a quiet place and speak naturally. Start with the purpose of the report, then describe observations, decisions and next actions in that order. Spell unfamiliar names and say units aloud. For a first trial, aim for one to three minutes. Avoid including identification numbers, medical details or customer information unless the tool and your organization permit it.
02Check the transcript first
Transcribe the recording, then listen again while reading the result. Correct names, dates, quantities and technical terms before asking for a report. Mark unclear passages as [unclear] instead of guessing. If the recording mixes Arabic and French, keep the original terms until their meaning is confirmed. A fluent transcript can still contain a wrong number.
03Give the draft a structure
Ask for four sections: context, observations, decisions and next actions. State who will read the report and how formal it should be. Tell the assistant to use only the transcript and to flag missing details. Keep observations separate from interpretations. For example, “three parts were measured” is an observation; “the entire batch complies” requires additional evidence.
04Verify against the source
Compare each important sentence with the corrected transcript. Check numbers, units, dates and the people responsible for actions. Remove unsupported conclusions. Ask whether a colleague who was not present could understand what happened and what to do next. Keep the original recording and reviewed transcript according to your organization’s retention rules.
05Export and inspect
Copy the reviewed draft into your document editor. Add the title, author, date and page numbers, then export to PDF. Open the PDF on a phone and check line breaks, Arabic direction, tables and missing characters. Share the final document only after a human has approved it. A PDF is a delivery format, not proof of accuracy.
Try this prompt
Using only the reviewed transcript below, draft a report with: context, observations, decisions, and next actions. Preserve all numbers and units. Do not invent missing details. Mark uncertainty as [needs confirmation]. End with a list of facts I should verify. Transcript: [paste reviewed transcript]

Starting information
Workshop note: We inspected three brackets. One has a visible scratch. No dimensions were measured. The supervisor requested a dimensional check; no owner or deadline was assigned.
Expected result
Observations: three brackets inspected; one visible scratch; no dimensional results available. Next action: perform the requested dimensional check. Owner and deadline: need confirmation. Batch acceptance: not established by this note.
Before you use the result
- Keep “three brackets” and “one scratch” unchanged.
- Do not turn an observation into a batch conformity decision.
- Leave the owner and deadline unassigned until confirmed.
